Executive Alliance is pleased to represent our N.Y.-based client who are a private equity fund management company that manages a diversified group of manufacturing, distribution, industrial technology and specialty infrastructure companies throughout the U.S. They are a highly reputable company with 60 employees that oversees $2 billion in assets and have been in business for over 30 years.


They are seeking an Executive Assistant to support a high level executive of their firm with general executive administrative duties along with some personal assistant duties.

They are seeking an Executive Assistant to support a high level executive of their firm with general executive administrative duties along with some personal assistant duties.


NOTE: This is a hybrid opportunity with four (4) days presence at company HQ in midtown New York, NY and one (1) day remote.



Job Requirements:

Job Description


Calendar Management – maintain and update multiple calendars
Travel (Business/Personal/Family) – often complex (private and commercial air)
Tracking of Phone Calls and Emails
Residence Point Person for NYC home (maintenance supervision/scheduling), including assisting with management of household staff
Scheduling virtual and in-person business meetings, including ordering meals, arranging travel, preparing meeting rooms, invitations, etc.
Draft correspondence, formatting, inputting, editing, copying and transmitting text and data
Establish and maintain files and records
Generally support the productivity of executive in whatever capacity is required
Perform personal assistant duties as required by the executive
Maintain employer's privacy by keeping all corporate and personal information confidential

 

Requirements


Bachelor's degree (minimum)
Previous job experience (financial firm experience a plus)
Long-term commitment desired

Proficient in Microsoft Office: Outlook, Word, Excel, PowerPoint, Adobe Acrobat
Scheduling and international/domestic travel logistics
Excellent verbal/written communication skills
Flexible to work extended hours on occasion
Excellent time management
Attention to detail, good listener, and ability to take direction
Proactive, forward-looking

Candidate must be able to handle multiple simultaneous requests and prioritize accordingly

NOTE: Must have COVID-19 vaccinations as per office policy


Expected Hours:

Full-time: 9AM to 5PM
